Objective:
To provide guidelines for the appropriate use of social media by employees of Plas-Fit UK, ensuring that the company’s reputation is protected and that employees understand their responsibilities when representing the company online.
Scope:
This policy applies to all employees, contractors, and third parties who use social media on behalf of Plas-Fit UK or in a personal capacity where they are identifiable as employees of the company.
Policy Statement:
• Responsible Use: Plas-Fit UK recognises the value of social media as a tool for communication and engagement. Employees are expected to use social media responsibly, ethically, and in compliance with company policies and relevant laws.
• Representation: Employees must not present themselves as official representatives of Plas-Fit UK unless authorised to do so. All official company communications via social media must be approved by the marketing or communications department.
Guidelines:
1. Professional Conduct:
– Always be respectful, professional, and courteous in social media interactions.
– Avoid posting any content that could be considered offensive, discriminatory, or harmful to the company’s reputation.
2. Confidentiality:
– Do not disclose any confidential or proprietary information about Plas-Fit UK, its employees, customers, or suppliers.
– Respect intellectual property rights and do not share content that you do not have permission to use.
3. Personal Use:
– Employees are permitted to use social media for personal purposes during breaks or outside of working hours, provided it does not interfere with their job responsibilities.
– Personal social media accounts should include a disclaimer stating that views expressed are the employee’s own and do not represent the views of Plas-Fit UK.
4. Brand Representation:
– Only designated employees are authorised to post on behalf of Plas-Fit UK. Official posts must align with the company’s branding and communication guidelines.
– Use approved logos, images, and messaging when representing the company.
5. Monitoring and Compliance:
– Plas-Fit UK reserves the right to monitor social media activity to ensure compliance with this policy.
– Any violations of the policy may result in disciplinary action, up to and including termination of employment.
6. Engagement and Interaction:
– Encourage positive engagement and interaction with followers, customers, and stakeholders.
– Respond to inquiries and comments in a timely and appropriate manner, following the company’s communication protocols.
7. Crisis Management:
– In the event of a social media crisis, such as negative publicity or a security breach, immediately notify the marketing or communications department.
– Follow the company’s crisis management plan to address and resolve the issue.
8. Legal Compliance:
– Adhere to all applicable laws and regulations, including copyright, data protection, and privacy laws.
– Avoid posting or sharing content that could be considered defamatory, libellous, or infringing on the rights of others.
Procedures:
1. Training:
– Provide training and resources to employees on responsible social media use and the company’s expectations.
– Regularly update training materials to reflect changes in social media platforms and best practices.
2. Reporting:
– Encourage employees to report any inappropriate or suspicious social media activity to the Directors.
– Investigate and address any reported issues promptly and effectively.
Review:
This policy will be reviewed annually or as necessary to ensure its effectiveness and relevance to current social media trends and legal requirements.
