PLAS-FIT UK BUSINESS CONTINUITY MANAGEMENT POLICY

1. Purpose

The purpose of this Business Continuity Management (BCM) policy is to ensure that Plas-Fit UK can continue its critical operations during and after a disruptive incident. This policy outlines the framework and procedures to maintain business functions and quickly resume normal operations in the event of disruptions.

 

2. Scope
This policy applies to all Plas-Fit UK employees, locations, and business processes, including suppliers and partners that support our operations.

 

3. Objectives
• To ensure the safety and well-being of employees, customers, and partners.
• To minimise the impact of disruptions on business operations.
• To maintain the supply chain and distribution of water P.E. fittings.
• To protect the company’s reputation and customer relationships.
• To ensure compliance with legal and regulatory requirements.

 

4. Definitions
• Business Continuity (BC): The capability of the organisation to continue delivery of products or services at acceptable predefined levels following a disruptive incident.
• Disaster Recovery (DR): A subset of business continuity focusing on the recovery of IT systems and data.
• Critical Business Functions: Activities essential to the functioning of the company that must be restored within a predetermined timeframe after a disruption.

 

5. Responsibilities
• BCM Management: The Directors are responsible for developing, implementing, and maintaining the BCM policy and plan. Coordinate training and exercises.

 

6. Business Continuity Plan (BCP)
The BCP includes:
• Risk Assessment: Identify potential threats and their impact on business operations.
• Business Impact Analysis (BIA): Determine critical business functions and the impact of disruptions on these functions.
• Recovery Strategies: Develop strategies to restore critical business functions within the required timeframes.
• Communication Plan: Ensure effective internal and external communication during and after a disruption.
• Training and Awareness: Regular training sessions and exercises to prepare employees for potential disruptions.

 

7. Risk Assessment
• Identify Risks: Natural disasters, technological failures, supply chain disruptions, pandemics, and other threats.
• Evaluate Impact: Assess the impact of identified risks on operations, financials, and reputation.
• Mitigation Measures: Implement measures to reduce the likelihood and impact of disruptions.

 

8. Business Impact Analysis (BIA)
• Identify Critical Functions: Determine which business functions are critical to operations.
• Resource Requirements: Identify the resources required to restore critical functions.

 

9. Recovery Strategies
• Alternative Work Locations: Identify and prepare alternate work sites.
• Data Backup and Recovery: Implement robust data backup and recovery solutions.
• Supply Chain Management: Develop strategies to maintain supply chain continuity.

 

10. Communication Plan
• Internal Communication: Procedures for communicating with employees during a disruption.
• External Communication: Strategies for communicating with customers, suppliers, and other stakeholders.
• Media Management: Protocols for managing communication with the media.

 

11. Training and Awareness
• Employee Training: Regular training sessions on BCM procedures and roles.
• Continuous Improvement: Review and update the BCM policy and plan regularly based on lessons learned and changing circumstances.

 

12. Review and Maintenance
• Regular Reviews: Annual review of the BCM policy and plan.
• Continuous Improvement: Incorporate feedback from exercises and actual incidents to improve the BCM framework.
• Documentation: Maintain up-to-date documentation of all BCM processes and procedures.

 

13. Compliance and Reporting
• Legal Compliance: Ensure compliance with relevant laws and regulations.
• Reporting: Regular reporting to the executive team on BCM activities and status.

 

14. Approval and Revision
This BCM policy is approved by the Directors of Plas-Fit UK and is subject to periodic review and revision as necessary.
